Use one programme brief with a separate record for each site. Standardise the questions and reporting fields while retaining the differences in work, access, staffing and responsibilities that affect the actual scope.
Create a site list before requesting a programme
For each location, record the required service, town, contact, operating hours and timing constraints. Distinguish identical-looking premises with different activities. This helps the provider discuss the programme without assuming that a single visit or course arrangement applies everywhere.
Keep comparisons on a like-for-like basis
If sites are reviewed against different criteria, periods or sampling scopes, explain that before comparing results. A site with more recorded observations is not automatically worse; it may have received a different depth of review. Keep limitations and evidence references alongside the reported status.
Illustrative example: three branches share one action
The same procedure needs revision, but each branch has a different local interface. Assign the central document owner and a local implementation owner at each site. Track distribution, local application and the verification decision separately so a centrally completed document is not counted as evidence that every site implemented it.
Plan training from local capacity
List learner numbers and the people each site can release at one time. Compare the proposed cohort plan with provider capacity and venue arrangements. A national request can coordinate the conversation, but dates, travel and delivery should be confirmed for the individual locations before commitments are made.
