Identify the project stage and the required appointment or service before comparing proposals. A design review, contractor-plan evaluation, monitoring visit and close-out review are different scopes and should be described separately.
Make the project boundary usable
Provide the project description, current stage, location of work fronts and available programme. Identify existing operations or public interfaces that the work may affect. For a project covering several locations, explain how the fronts differ and who can supply current information for each.
Name the decision the appointment must support
A client may need comments on design information, a review of a contractor plan, observations during delivery or a close-out record. State which decision is needed and by when. Request confirmation of the appointment scope and responsible practitioner; a broad proposal heading alone does not define statutory responsibility.
Illustrative example: one work front moves ahead
The programme changes and a contractor starts preparing a different section from the one described in the last review. The client brief should identify the changed location, interfaces and information requiring reconsideration. Keep the decision and updated document reference together so comments from an earlier stage are not mistaken for current acceptance.
Plan the handover from the start
Agree how review comments, observations, responses and unresolved matters will be indexed. Identify the person who accepts each deliverable and the escalation route for missing information. Project value is not a substitute for evidence of consulting scope or an outcome, so use relevant appointment and deliverable records when evaluating experience.
