Separate scope from logistics
The number of sites, project stage and requested output define the work. Travel, access windows, induction arrangements and operating hours affect delivery. A single address can still contain several distinct activities or stakeholder groups; explain the actual boundary.
Describe the evidence condition
An organised set of current records requires a different review conversation from a large mixed archive with unclear versions. State the approximate record types, access method and known gaps. Do not claim that documents are complete before their relevance and versions have been checked.
Illustrative change in a request
A client initially asks for one site inspection and later requests a portfolio report across four sites with follow-up meetings. The work has changed in locations, coordination and deliverables. Ask for the revised scope and quotation rather than assuming that the original fee covers the expanded requirement.
Make assumptions reviewable
Request the fee basis, included outputs, travel treatment, taxes, validity period, cancellation terms and process for extra work. If the provider proposes stages, record the decision that releases each stage. Published examples cannot establish what a particular assignment will cost.
